Record Retention Schedule
This page describes how long Lease Velocity LLC keeps the main categories of records processed through the Lease Velocity service, and how those records are disposed of at the end of their retention period. It supplements Section 6 of our Privacy Policy ("How Long We Keep Personal Information").
We follow a retention schedule by record type with secure disposal at the end of the period — rather than keeping everything indefinitely. This reflects data- minimization principles (including under the CCPA/CPRA) and the secure-disposal duty of the FACTA Disposal Rule for any consumer-report information. By design, Lease Velocity does not store Social Security numbers, driver's-license numbers, dates of birth, full bank-account numbers, or biometric data. Background-check, identity-verification, and income-verification information is held by our specialist vendors; we keep only an opaque reference and a status.
Schedule
| Record type | Retention period | Disposal at end of period |
|---|---|---|
| Rental application data | 7 years from submission | Personal fields nulled, uploaded documents deleted; a non-personal audit shell is kept |
| Abandoned application drafts | ~48 hours after last activity | Deleted, including any uploaded files |
| Abandoned property intakes | 30 days with no submission | Removed with any uploaded payload |
| Deleted properties | 60-day restore window | Permanently deleted after the restore window |
| Resident sign-in tokens | 30 days after expiry | Deleted |
| Tenant-screening report references | Disposed when the related application is purged | Reference/link securely disposed (the underlying report is held and disposed by the screening vendor) |
| Lease agreements & signed PDFs | 3 years after move-out | Stored documents securely deleted (extended while a dispute is active) |
| Inspection evidence photos | 3 years after the tenancy ends | Securely deleted |
| Renters-insurance proof-of-coverage | 2 years after coverage ends | Securely deleted |
| Resident & staff messages | 3 years | Deleted |
| Payment & ledger records | Retained for tax, audit, and dispute-resolution purposes (at least 7 years) | Retained; these records do not contain sensitive identifiers |
| Security-deposit records | Per applicable state law (typically 1–3 years after move-out) | Disposed at the end of the state-required period |
How disposal works
Disposal is automated and audited. When a record reaches the end of its retention period, the personal payload is either deleted outright or reduced to a non-personal audit record, and any associated files in private storage are securely deleted. Each disposal action is logged so we can demonstrate that the schedule is being followed.
Active disputes and legal holds
Where a record is reasonably necessary to resolve an active dispute, respond to a legal claim, or comply with a legal obligation, we may retain it beyond the periods above for as long as that need exists.
